Role Overview
As Administration Lead, your ability to enhance the operational efficiency and effectiveness of your local Administration Team and ensure the smooth and efficient running and development of the administrative functions within your region will be critical to our success. Your ‘go to’ person is the Administration Manager, who will support and challenge you not only to succeed in your role but to realise your potential and career aspirations at EQ.
Your aims are to:
Ensure that your region’s administrative function is always operating optimally and to its best potential by:
- Leading and managing the local administration systems, processes and team.
- Establishing, evaluating and continuously improving agreed administration controls and systems, reviewing reports and interpreting data.
- Provide supportive, enthusiastic and constructive leadership, line management and mentoring to the administration team within the region ensuring that a first-class administrative service is provided to all colleagues and clients.
- Being actively involved in ensuring the necessary standards, systems and processes are in place and followed by the team in relation to administration services including but not limited to client engagement, new client creation and onboarding, prompting anti-money laundering compliance actions and filing, bulk communications, maintaining client information and databases, answering and directing calls and emails, collecting and distributing mail, facilities management, office security, meeting minutes, stationery stock management, organising and storing information or paperwork, maintaining office diaries, setting up meetings and events and associated arrangements, travel and accommodation arrangements, compliance with relevant regulations etc.
Facilities management
- Ensuring safe, welcoming, fit-for-purpose working and client environments are maintained in each of the offices within the region.
- Ensuring the right processes and systems are in place to maintain the day-to-day upkeep. Contacting appropriate trades people and being the contact for trades contractors while they are on-site.
Reporting
- Assisting with the production of R&D reporting, data analysis and reporting, and presentations within the region.
- Measuring and reporting on our administrative progress within the region in line with our weekly, monthly, quarterly, and annual review of critical success factors.
- Analysing and creating solutions to administrative problems. Fixing issues proactively, identifying challenges and mitigating actions.
Technical support
- Providing support to Partners and Managers in relation to undertaking all of the administrative aspects of their technical work including debtor statements etc.
Complaints management
- Gatekeeping and managing all administrative aspects of complaints and queries, working with the Partners and Managers to resolve all local complaints and client queries and escalating these to the Administration Manager where appropriate.
Regulation and Compliance
- Ensuring the maintenance of all administrative regulatory compliance.
Process mapping
- Implement, and embed agreed administration process mapping, standard operating procedures within each office in your region.
Team engagement
- Communicate confidently and kindly with all members of the EQ Team.
